1. Information Technology Policy

The Global Teams AI Information Technology (IT) Policy defines rules, regulations and guidelines for proper usage and maintenance of technological assets to ensure their acceptable use and assure health, safety and security of Global Teams AI and client data. It also provides guidelines for issues including purchase, compliance and IT support of independent contractors pertaining to technological assets and services used for office work.


1.1 Compliance

All independent contractors are expected to comply with the IT Policy rules and guidelines while using and maintaining any equipment or software purchased or provided by the company. Any independent contractor who notices misuse or improper use of equipment or software within the company must inform their Global Teams AI contact immediately. Misdeclaration of device specifications or inappropriate use of Global Teams AI -managed equipment and software may constitute grounds for termination of the independent contractor agreement.


1.2 Training

Basic IT training and guidance are available to all new independent contractors for using and maintaining their PCs, laptops, and peripherals. Independent contractors can request, or Global Teams AI may provide, IT training sessions as required.


2. Operating Procedure Policy

This policy aims to maintain standard configurations and IT operating procedures for Global Teams AI independent contractors to ensure productivity, computer health, and timely support.


2.1 Device Specifications

Minimum Specification:


Windows OS: Intel i3 – 6th Gen or Ryzen 5 – 3rd Gen


Mac OS: Intel i5 – 6th Gen


Memory: at least 8GB


Storage: 256GB SSD




Recommended Specification:


Intel i5–i9 10th–11th Gen / Ryzen 5–9 4th–5th Gen


Memory: 16GB


Storage: 256GB SSD or M.2


2.2 Internet Speed Requirement

Minimum: 25 Mbps Download / 10 Mbps 

Upload
Recommended: 50 Mbps Download / 20 Mbps Upload


2.3 Data & File Backup Procedure

All Global Teams AI -related files must be saved on the company-provided cloud server. Independent contractors must log in using their ID and password and follow Global Teams AI’s Offboarding Process during contract termination.


3. Email and Chat Policy

Applies to all messages sent or received via Global Teams AI -approved systems.


3.1 Guidelines

Global Teams AI email addresses must be used only for work-related purposes. Breaches must be reported immediately. Access will be revoked upon contract termination.


3.2 Ownership & Confidentiality

All emails, chats, and electronic messages are the property of Global Teams AI . The company reserves the right to monitor, intercept, or disclose messages for security purposes.


3.3 Safety Usage & Inappropriate Usage

Install antivirus software and avoid suspicious emails. Do not send or store offensive, personal, or spam content using official systems.


4. Password Security Policy

Provides guidelines for managing passwords for all Global Teams AI tools and applications.


4.1 Password Allocation & Guidelines

Passwords must be unique, private, and changed regularly. Do not share or reuse old passwords. Lock computers when away from desk.


5. Bring Your Own Device (BYOD) Policy

Contractors may use personal devices if they comply with Global Teams AI policies. Antivirus installation and data storage only on approved platforms (e.g., Global Teams AI Cloud) are required.


5.1 Acceptable Use & Privacy

Personal devices may be monitored by Global Teams AI . Access to company data is restricted based on user profiles.


6. Client Equipment Usage Policy

Governs usage of equipment purchased or provided by Global Teams AI and its clients. The IT Department handles procurement, allocation, and retrieval after contract termination.
Definitions:
Official Use: Work-related tasks under the Independent Contractor Agreement.
BYOD: Bring Your Own Device.
Company Profile: Secured profile for Global Teams AI or client files.
